An employment order is a document that formalizes the labor relationship between an employee and an employer after signing an employment contract.
As a rule, unified forms are used to draw up an order:
- T1 – for registration of one employee.
- T1a – for registration of several employees.
Note
: drawing up an order in form T-1a provides for the inclusion in the specified document of personal data of several employees at once (salary data), and therefore its use in work is not recommended in order to avoid conflicts regarding the disclosure of personal data.

, the employer has the right to develop his own order form, and the specified document must contain the following basic information: full name of the employee, the position for which he is hired, the name of the department or unit, information about salary, probationary period, employment contract on the basis of which the order is drawn up.
The order is signed by the manager or other authorized official and brought to the attention of the employee no later than 3 days from the start date of work.

At the top of the form is written the name of the organization in which the employee is employed. The order form is assigned an individual and unique number, and the date of registration is written.
In the “hire” line, you must indicate the date from which the employee begins to perform the job duties assigned to him - the first working day.
In the “to” line, the end date of work is filled in if the employee has a fixed-term employment contract for a certain period.
Below is written the full name of the person being accepted into the staff.
Each employee is assigned an individual number, called a personnel number, this number is retained by the employee throughout his entire career with this employer. This number is written in the corresponding field on the T-1 order form.
Below is written the name of the structural unit (department) into which the new employee is being hired, as well as the position.
In the line below you must indicate the nature of the work and the conditions of employment.
Next, the tariff rate for this employee or salary, allowances (depending on the applied remuneration system) is indicated.
If the conditions of employment require a probationary period, then its duration must be entered in the field specially designated for this.
The basis for drawing up the order is an employment contract - its number and date are indicated.
The order completed in this way is signed by the head of the organization and given to the employee for review.
The latter checks the correctness of the information specified in the form and signs the document, setting the date of signing.
The executed and signed order is stored at the enterprise and serves as the basis for filling out a personal card for the employee in the T-2 form, a personal file, if necessary, and a personal account in the T-54 form.
Accepted order forms
The sample order when issued for a group of people differs from the order for one person. There are two main forms of orders.
- Form No. T-1 – used when registering one employee ().
- Form No. T-1a – for a group of persons ().
The only difference is in the established form formats. However, an enterprise can draw up its own form of such an order. However, then it must contain certain points:
- Business name;
- Last name, first name and patronymic of the employee;
- The expected future position of the person being hired;
- The term for which the employment contract is concluded (in the case of permanent execution, only the date on which it was signed);
- Name of the structural body of the enterprise;
- Terms of employment;
- Salary;
- Data on the trial period;
- Description of the type of work activity, which can be temporary, seasonal, part-time. An employee can be hired, for example, during the absence of the main employee, which should also be taken into account;
- Date of signing of the TD, and the code assigned to it;
- Manager's signature;
- Sometimes you need to supplement the document with special details. For employees who were hired part-time, you must indicate the total hours of work per week (for this type of work they cannot be more than a four-hour working day). Indicate the number and date of signing the liability agreement.
The form also indicates the appropriate administrative action. When drawing up a document for more than one employee, all items must be filled out for each individual. However, it is much more convenient to use standard forms. They are much easier to use.

Package of documents for applying for a job
To begin with, it is worth considering what documents are generally drawn up during employment and in what order. After all, it doesn’t happen that a candidate came to the company and was immediately hired. Usually, after an interview, the most suitable employee is selected and invited for official registration. He, for his part, brings a package of documents and the company draws up all the necessary papers.
Typically, employment takes place in one day, on the first working day . In this case, the following mandatory documents are drawn up:
- Statement. This is the very first document that an employee provides to a future employer. Without an application, the employment process will not begin.
- Employment contract. After all working conditions have been agreed upon, an employment contract is drawn up, where all information is recorded in writing. The agreement is signed by the employee himself and the director of the organization, 1 copy remains with the employee.
- The order of acceptance to work. This document is drawn up on the basis of an employment contract. Form T-1 is used if 1 employee is hired and form T-1a if several employees are hired at once.
- Personal card. It is compiled on the basis of data received from the employee and contains detailed information about the employee.
- Entry in the work book. It is done last, after all the necessary documents have been compiled.

What is a personal card used for?
The applicant was interviewed, hired, an acceptance order was issued, and now he needs to go through the employment procedure.
To do this, he needs to submit a set package of documents containing a lot of heterogeneous information. To systematize this information for further accounting, the data is recorded on specially designed cards. Thus, information about all employees of the enterprise forms a file cabinet convenient for complete accounting.
The State Statistics Committee of the Russian Federation developed and approved in Resolution No. 1 of January 5, 2004 “On approval of unified forms of primary accounting documentation for recording labor and its payment” a form for filling out a personal card, called T-2.
On such a form it is convenient to reflect all significant information about the employee. If the enterprise considers it necessary, it can develop its own personnel data register on its basis.
Attention! An employee personal card is used for employees holding any position, both full-time and part-time. It is convenient to arrange personal cards in alphabetical order or distribute them by structural divisions.

Some nuances
There is no obligation to issue a group order in Russian labor legislation. The employer has the right to issue his own order for each employee according to f. T-1. This is most often done in commercial companies to maintain the confidentiality of the working conditions of individual specialists (non-disclosure of salary, for example).
All information entered into the order must be identical to that specified in the employment agreement with the employee. Before signing the form, the hired citizen must be familiar with the local regulations of the organization (Internal Labor Regulations, Regulations on Remuneration and Bonuses, etc.).
When concluding open-ended contracts, dashes are placed in the work period (start and completion dates) column. The order of form T-1a, after signing by both parties, is registered in the appropriate journal and bookleted in the manner accepted in the given company.
Important:
the employer can enter additional information into the text of the order on group hiring of employees (part-time work, part-time employment, etc.).
Document form
It should be noted that to register persons accepted under an employment contract, you can use special unified order forms:
- form No. T-1 - used when hiring one employee;
- form No. T-1(a) - when hiring a group of employees.
The main advantage of these unified forms is their absolute simplicity and less formality compared to a free text version of the order, and there is also no need to make notes about the employee undergoing special training, his agreement with the working conditions, medical examination, etc.
However, this leads to the preparation of approval sheets and instructions, medical examination and other documents.
According to this order, the employee is obliged to begin his job duties on the specified day.

Registration and storage of orders in the organization
The organization must have a clearly established system for recording documentation. Therefore, it is necessary to oblige the employee who is responsible for hiring and dismissing employees to keep a log of personnel documents. Such a log must indicate:
- Date the document was created
- Document serial number
- Registration date
The numbering of documents must begin anew every calendar year.
In accordance with paragraph 19 of the List of Archival Documents, which was approved by Order of the Ministry of Culture No. 558 of August 25, 2010, personnel documents are stored for 75 years.
Design rules
All personnel officers understand the importance of this document. This document must be prepared in accordance with all the rules. How to issue (draw up) an order for employment?
At the time of its registration, it is necessary to indicate the name of the structural unit, the employee’s position, probationary period, conditions of employment and the nature of the work that the employee will be engaged in.
(Here it is necessary to indicate if the employee is employed part-time, if this is a transfer from another organization, if the employee is a substitute for a person absent from the company, if he is engaged in a certain job).
If a contract is concluded for an indefinite period, in the details “date” (T1) or “Work period” (T1a), the “to” column should not be filled in.
When the order is signed by the manager, it is announced to the accepted employee. The employee must certify with his signature that he has read the order.
Lack of registration in the required region can become an obstacle to employment. Based on Article 64 of the Labor Code of the Russian Federation, it is not necessary to present documents confirming registration at the place of stay.
Denial of employment based on the lack of such documents is considered illegal. But still, obtaining registration is the responsibility of a citizen. Failure to comply with this responsibility may result in the person being issued a fine. The amount of the fine cannot exceed 2,500 rubles.
If an employee is hired part-time, then all documents are prepared in the same way as in the case of employment for the main job. The only nuance is that the work book is kept at the main place of work.
